Meeting Space Reservation Request

This form is a request to reserve meeting space for a special event at the 2018 ETS Annual Meeting in Denver, CO, Tuesday, November 13th to Thursday, November 15th. It is not a binding contract. Submitting this form does not guarantee your organization space at the ETS Annual Meeting. ETS will make every effort to accommodate your request, but space is limited. The Society reserves the right to decline requests for events it deems to be out of harmony with the purpose of the Annual Meeting.

Meeting space is limited and will be offered on a first come, first served basis. ETS provides space at no cost to organizations. There is, however, a $250 fee for listing in the printed program and on-site signage. Space must be reserved by July 1st. for guaranteed inclusion in the printed program.

Catering and AV costs are the responsibility of the sponsoring organization. Catering and AV will be billed to the ETS Master account at the facility where the event takes place. ETS will then invoice the sponsoring organization for these costs. Any food or beverages served at the event must be set up with the facility's catering company.

No special events will be scheduled during official conference events.

The following time slots are available for special events during the 2018 ETS Annual Meeting in Denver, CO. ETS does not typically schedule events which overlap with official program events.

If you are requesting space which overlaps with official program events or are not listed below please email your request to Bonnie Thigpen at meeting@etsjets.org.

Tuesday, 11/13 lunches may begin at or after 12:15 PM and must end by 1:45 PM. Please enter your desired event times below.

Wednesday, 11/14 breakfasts must end by 8:15 AM. Please enter your desired event times below.

Wednesday, 11/14 lunches may begin at or after 11:45 AM and must end by 12:45 PM. Please enter your desired event times below.

Wednesday, 11/14 events after the banquet may begin at or after 9:15 PM and must end by 11:59 PM. Please enter your desired event times below.

The cost for inclusion in the program and onsite signage is $250. Space must be reserved by July 1, 2018 for guaranteed inclusion in the printed program.

Event Details

Please complete the following information carefully. The information given below directly effects the size of the room you are requesting. If you need to add AV services, display/information tables, podium, etc. after your room has been assigned it will reduce the number of attendees that can participate in the event.

Theater: rows of chairs facing the front of the room to maximize room capacity

Reception: small cocktail tables for people to stand around.

Banquet: round tables that seat 8 - 10 people per table.

Conference: long tables down the center of the room with seating around the perimeter.
